Job Summary:
The Logistics Coordinator is responsible for planning, coordinating, and monitoring the movement of goods, materials, and shipments to ensure timely and cost-effective delivery. The role involves managing transportation, coordinating with vendors and carriers, maintaining inventory records, tracking shipments, and ensuring compliance with logistics and company policies.
Key Responsibilities:
- Coordination with Sales dept. regarding LC opening and request of amendment if there is any.
- Monitor shipping schedule from factories and Export LC follow sheet furnished by Sales dept.
- Examine, check and verify Export LC conditions for compliance.
- Prepare Shipping Instructions with CO instructions (if required by customer) and send them to factories along with Export LC copy.
- Coordination with Advising Banks on Arrival, Confirmation of Export LC, update Export LC follow and monitoring receipt of original Export LC.
- Coordination with the Accounts dept. for payments to Shipping Co., Embassies, Chamber of Commerce, etc.
- Coordination with factories for document copies needed for the preparation of Export LC documents for negotiation.
- Coordination with Shipping Companies regarding confirmation and BL issuance and shipping certificates (if required on Export LC) in Dubai.
- Send shipment advice to customers, including shipment summary for customers with multiple shipments/invoices to facilitate advance reconciliation.
- Processing of documents needed for Export LC negotiation in accordance with the Export LC and UCP600 terms and conditions such as invoice, packing list, Certificate of Origin, and legalization of documents.
- Negotiate documents with banks upon completion of Export LC requirements. Update negotiation record and monitor bank dispatch, receipt of proceeds for usance Export LC or sight payment.
- Register sales transactions in the Order & Sales system.
- Ensure complete sets of shipping documents are uploaded and maintained in the internal database system for record management and audit purposes.
- Provide assistance to distributors with regards to clearing and any other documentation requirements.
- Any other admin errand or task as assigned by the superior.
Requirements:
- With relevant graduate or bachelor’s degree
- 【Mandatory】3-5 years’ experience in Export Letter of Credits and Logistics coordination
- Experience in the tyre or automotive industry is an advantage
- Proficient in MS Office skills (especially in excel) and database software
- Excellent communication and interpersonal skills (verbal & written)
- Strong organizational and coordination skills with the ability to work in a multi-cultural environment
